Introductory Letter

10 September 2008

Dear K12Online08 Presenters:

Our 2008 K-12 Online Conference is drawing closer, and your conveners are sending this letter to let you know about expectations, guidelines, dates, and deadlines for the conference. Hopefully this letter, the presenter's wiki we have created, and upcoming "Before the Dawn" online meetups will provide you with all the information you'll need to have a successful and positive experience with K12Online this year as a presenter.

First of all, we'd like to say a big THANK YOU for presenting and sharing ideas with our global learning community through K12Online this year. This is our third year and we continue to learn a great deal, but one thing we've known from the start is that our presenters are truly the heart and soul of our conference. We appreciate the time and effort you have put in and will put in to make a fantastic presentation and help educate other teachers through your work with K-12 Online this year. WE APPRECIATE YOU!

1. PRESENTER WIKI
As we did in past years, conference conveners have created a presenter's wiki for k12online08 which is currently private and viewable only by conveners and presenters. After receiving this email you should receive an invitation to join the wiki. The website address is:
https://k12online08presenters.wikispaces.com

2. BEFORE THE DAWN ONLINE MEET-UPS
As we did in 2007, we are scheduling two opportunities for presenters and conveners to meet synchronously online to discuss these guidelines, deadlines, and expectations. Two different dates and times are scheduled for these "Before The Dawn" meetups:
  • Sept 13: (Sat) Before the Dawn Take 1 (1 PM GMT)
  • Sep 16: (Tues) Before the Dawn Take 2 (1 AM GMT)
These meetups will be scheduled in Elluminate, and a link to join the Ellumiante session will be emailed to you prior to each session. Links will also be provided here on our Timeline page.

3. TEASER VIDEOS
As we did in 2007, we are inviting presenters to submit short "teaser videos" about their presentations to their respective strand convener. The deadline for submitting teaser videos is 21 September 2008. Ideas for teasers are on:
https://k12online08presenters.wikispaces.com/Teaser+Ideas

4. PRESENTATION DEADLINES AND GUIDELINES
Presentations are due two weeks before the start of the week they "go live." October 6th is the deadline for week 1 (Getting Started and Prove It) presentations, and October 13th is the deadline for week 2 (Kicking It Up a Notch and Leading the Change) presentations.

As you know after making your proposal submission, we have instituted a length limit this year for presentations. Your final presentation should be no longer than 20 minutes total in length. Also, this year each presenter will be limited to submitting ONLY ONE presentation media file. You are welcome to include links to additional supporting materials, but only one presentation file may be submitted to be archived on the William and Mary server. More info about presentation guidelines (including licensing terms) is on:
https://k12online08presenters.wikispaces.com/Guidelines+for+Presentations

5. FILE SUBMISSION PROCEDURES
Our file submission procedures have changed slightly this year to streamline processes. Rather than submit your finished file to a single person, each presenter (or a designee for presenter teams) will submit their final presentation file to their respective strand convener. The strand convener will then upload presentation files to our private, pro blip.tv account so files can be transcoded to iPod and mp3 formats, and ID3 tags can be added to each file. (We are not using blip.tv to host actual conference files, but only to facilitate transcoding.) FILES CAN ONLY BE SUBMITTED ONCE THIS YEAR, PLEASE DO NOT RESUBMIT AN "UPDATED FINAL VERSION" AFTER YOU HAVE SUBMITTED YOUR PRESENTATION TO YOUR CONVENER. Again, presentations are due TWO WEEKS prior to the start of their respective conference week. (Check the Timeline page for dates.) Recommended websites for transferring files to your strand convener and other information about file submission procedures are available on:
https://k12online08presenters.wikispaces.com/Presentation+Submission+Procedures

6. PRESENTER PAGES
Each presenter (or presenter team) is required to complete a brief "presenter page" on this wiki, which will be made publicly viewable when the actual conference begins. More information and links are on:
https://k12online08presenters.wikispaces.com/Presenter+Pages

7. PRESENTATION BLOG POSTS
Information will be copied from your respective strand presentation blog post wiki page to the conference blog prior to the day your presentation is scheduled to "go live." It is very important that you edit the information fields for your presentation on your strand's wiki page, and verify all links and information are complete and functional. More information and links to these wiki pages are available on:
https://k12online08presenters.wikispaces.com/Presentation+Blog+Posts

8. FIRESIDE CHATS
During the conference, as in past years, we will schedule 3 different fireside chat meet-ups in Elluminate for keynoters and presenters. We hope you will be able to attend and participate in all fireside chats, but particularly in the fireside chat for the week your presentation is published and "goes live." More information and guidelines about fireside chats is on:
https://k12online08presenters.wikispaces.com/Fireside+Chats

9. TIMELINE
There are several dates and deadlines to remember in this schedule. To assist us all in keeping these straight, we've created a timeline page which lists all the deadlines in our K12Online08 conference this year:
https://k12online08presenters.wikispaces.com/Timeline

We are sure questions are going to come up, so we hope you'll be able to join us for one or both of the "Before the Dawn" meetups coming up this Saturday and next Tuesday. We are looking forward to working with you and learning from and with you in K12Online08 this year! Thanks for your participation, we look forward to seeing you soon online in Elluminate!

Sincerely,

Darren, Sheryl, Dean and Wesley
